Name the outcome in plain language
“Call my book” leaves too much unsaid. “Invite eligible customers with a renewal in the selected window to schedule a policy review with their account owner” gives the team an audience, a purpose, and a destination.
Set a measurable operational objective such as confirmed review appointments. Keep attempted calls, conversations, appointment requests, and confirmed appointments separate. Combining them into one conversion number makes it hard to see where the work is failing.
Permission is part of the audience definition
Do not assume that an existing customer relationship makes every channel and message eligible. Determine the applicable consent, suppression, calling-time, disclosure, and recording requirements with qualified counsel and your communications providers before launch.
The FCC treats AI-generated human voices as artificial voices under the TCPA. Commercial email has its own requirements under CAN-SPAM. These are separate considerations; a permitted email audience is not automatically a permitted AI calling audience.
- Record the source and permitted purpose for the audience.
- Apply channel-specific suppression and opt-outs.
- Confirm time zones and permitted contact windows.
- Identify who can pause the campaign.
Write the handoff before the opening line
A caller who asks about coverage needs a clear route to a licensed person. Decide who owns that handoff, what context travels with it, and what the customer should expect next. The assistant should not improvise an insurance recommendation to keep a conversation moving.
Keep the script focused on the agreed purpose: identify the agency, explain why it is reaching out, make the required disclosures, and offer the next step. Use approved language for questions the assistant cannot answer.
Launch in a bounded group
Start with an agency-approved segment and inspect actual outcomes before widening the audience. Listen for unclear identity, bad record matches, unanswered questions, and scheduling failures. A technically successful call can still create a poor customer experience.
Review both successes and exceptions. Preserve opt-outs across follow-up channels and stop retrying when the campaign’s rules say to stop. Growth work should leave the customer record clearer than it found it.
